Walk into your CPA appointment with everything on one page.

Kitwright’s Small Landlord Year-End CPA Handoff & 1099 Vendor Kit is a clean Excel workbook for DIY landlords closing their own year. It tracks who you paid, which W-9s you have, which 1099s look likely, which documents are still missing for each property, and the questions you keep forgetting to ask. Then it rolls everything into a one-page CPA Summary.

Why landlords use this kit

Know where you stand on 1099s

Log payments once. The tally totals each vendor for the tax year, leaves out card and app payments (those are reported on 1099-K), compares the result with your threshold, and flags vendors who still need a W-9.

Deadlines that calculate themselves

Set the tax year and the dates fill in. Weekends and holidays roll to the next business day. For tax year 2026, 1099-NEC copies are due Feb 1, 2027.

No more “can you also send…” emails

A per-property checklist covers 1098s, property tax, insurance, closing statements, depreciation and improvement records, so your CPA gets everything in one go.

Repairs vs improvements, organized

List the big or unclear projects with BAR-test notes and a $2,500 de minimis comparison. Your CPA makes the final call faster.

What’s included

  • Excel workbook (.xlsx) for Microsoft Excel. Upload it to Google Drive to use Sheets, or open it in LibreOffice Calc. No macros.
  • Settings: tax year, 1099 thresholds (2026 IRS defaults with sources), mileage rates, up to 10 properties
  • Vendors: W-9 status, a TIN-on-file checkbox and the TIN last 4 only (a validation blocks full SSNs and EINs)
  • Payments log and a 1099 Tally that flags each vendor: 1099 likely – get W-9, ready, below threshold, or corp usually exempt – confirm
  • Deadlines: 1099-NEC/MISC furnish and file dates, Q4 estimate, Form 1040/extension, plus your CPA handoff target
  • Year-End Docs: 14-item checklist per property with % complete
  • Repairs vs Improvements review tab
  • Mileage Log with the 2026 IRS rates and a summary by property
  • CPA Questions list with priority and status
  • One-page CPA Summary and a Dashboard with charts
  • README, structure notes (CSV) and license. Sample data for 2 fictional properties, clearly marked SAMPLE

Who it’s for

  • US small landlords and househackers with about 1–10 residential units
  • Landlords who pay handymen, plumbers, cleaners or attorneys and want clean W-9 and 1099 records
  • Owners who hand their books to a CPA every spring

Who it’s not for

  • Anyone looking for tax advice, 1099 e-filing, or state filings (this kit does none of these)
  • Large portfolios already on full accounting or property-management software

Honest fine print

Kitwright does not provide tax, legal, or accounting advice. This workbook is a bookkeeping and operations aid only. The thresholds ($2,000 for 2026 1099-NEC and 1099-MISC rents; $600 for attorney gross proceeds), deadlines and mileage rates are defaults verified from IRS publications on 2026-10-27. They change, so the README lists the IRS sources. Whether you must issue 1099s depends on your facts, including whether your rental activity is a trade or business. Confirm with your CPA. Never store full SSNs or TINs in the workbook. It is designed for the last 4 digits only.
